Start with a clean source
Export from the authoritative application (Word, LaTeX, court e-filing system) when possible — avoid lossy generational copies. If you only have scans, run OCR PDF before any archival step.
Remove sensitive data before storage
Redact witness names, student IDs, and medical record numbers with Redact PDF or Auto Redact PDF. Strip hidden metadata and comments via Sanitize PDF.
Convert to PDF/A for retention policies
Many courts and universities require PDF/A. Use PDF to PDF/A and confirm the target level (PDF/A-1b or PDF/A-2b) with your records office.
Optimize size without destroying evidence
Compress only after redaction and PDF/A validation. Use Basic compression on Compress PDF and retain an uncompressed master in secure offline storage.
Catalog and retrieve
Add page numbers for litigation sets or coursework with Page Numbers. Merge appendices in mark order using Merge PDF.
